NCCC Tip of the Week: How to Flag Duplicates & Submit Potential Merges
This week’s tip is all about keeping our client data clean and accurate! 🧹✨
Here’s how you can flag duplicate records and submit potential merges in NinePatch.
🔍 Step-by-Step Overview:
- · Start by searching the Client Registry for any records that might be duplicates.
- · On the matches screen, use the three-dot menu next to a record to flag it as a possible duplicate.
- · Keep selecting any other duplicates you find—remember, you need at least two selected to submit a merge!
- · Click the “Submit Potential Merge” button to start the process.
- · You’ll then be asked to choose the correct values to keep (like name or date of birth). This is done field by field, not by entire record!
- · If prompted, you can check the box to keep the other record’s info as historical data.
- · Once everything looks good, go ahead and submit the merge request.
- · You will see a little green banner confirming submission on the top of your page. Track the request status under your “To-Do’s” – it’ll show as Requested until approved. ✅
🔒 Reminder:
Merging records is permanent, so please double-check that the records are truly duplicates — not just similar names (like Sr. & Jr. or twins).
